What a Corporate Yacht Charter Includes
Every corporate charter we arrange starts from the same base: a privately chartered vessel with a licensed captain and crew, fuel for the agreed route, safety equipment for the licensed passenger count, and use of the vessel’s deck spaces and saloon. On top of that base, we build the event layer to your brief:
- Catering and beverages: from buffet lunches to plated dinners and cocktail service, with dietary and halal requirements mapped per guest list.
- Audio-visual: PA and microphone for speeches and awards, music systems, and screen or projector setups on vessels whose saloon layout and power supply support them.
- Branding aboard: welcome signage, banners and flags, printed menus and place cards, branded gift bags, and photography or videography of the event.
- Itinerary design: Nusa Penida or Nusa Lembongan day routes, sunset cruises along the Bukit coastline, or multi-day incentive routes toward Komodo.
- A dedicated coordinator: one person from our desk on the dock and reachable throughout, so your HR or events lead is a guest rather than a producer.

Branding aboard: what is realistic
Free-standing banners, flags, welcome boards, printed collateral, and branded amenities are straightforward on most vessels. Hull wraps and permanent signage are generally not possible on chartered boats, and we will say so rather than promise it. For product launches or filming, we check mounting points, power draw, and operator permissions in advance, because discovering a restriction on the morning of the event is not an acceptable outcome for anyone.
Capacity Planning: Matching the Vessel to the Group
The most common planning error in corporate charters is booking to the licensed passenger maximum. A vessel licensed for 40 can carry 40, but it cannot seat 40 for a plated dinner or give 40 people sightlines to an awards presentation. We plan to the comfortable working capacity for your format, which is usually 60 to 75 percent of the licensed figure.
- Up to 10 guests: a motor yacht or sailing yacht; boardroom-style discussions, senior client hosting, small leadership offsites.
- 10 to 30 guests: larger motor yachts and catamarans; team days, awards lunches, seated dinners with a short presentation segment.
- 30 to 80 guests: large event catamarans and day-cruise vessels; standing cocktail formats, product launches, end-of-year functions.
- 80 guests and above: usually a two-vessel fleet or phased departures. We will tell you plainly when a single boat is the wrong answer.
For multi-day incentive trips (typically a Bali start with two or three nights aboard toward Komodo National Park), cabin count becomes the constraint rather than deck space, and groups of 10 to 20 are the practical range on a single vessel.
How We Arrange the Logistics Around Your Charter
Corporate events fail at the seams: the transfer that misses the tide window, the security brief nobody owned, the invoice that finance cannot process. Ground movement is the usual starting point. Airport pickups, hotel-to-marina transfers, and staggered departures for large groups are arranged through the luxury transfer service in our partner network, timed against boarding windows we control on the boat side. For events involving executives, public figures, or valuable product samples, we add business security services in Bali through the same network: discreet personnel at the marina, controlled boarding against a guest manifest, and, where required, security presence aboard for the duration of the charter.

High season (July, August, and the December holidays) sits at the upper end, and every written quote we issue is itemized so finance can see exactly what is included.

Ranges exclude items that depend entirely on your brief: premium beverage packages, entertainment, film crews, and security detail among them. If your budget band is fixed, tell us the number first; it is far more efficient for us to design the best event that fits it than to quote upward from a wish list.
Invoicing, contracts, and payment
We invoice companies in USD or IDR under your registered entity details, and supply the supporting documentation your finance team requires for processing. The standard structure is a deposit of 30 to 50 percent to hold the vessel and date, with the balance due before departure. Cancellation and postponement terms are set by each operator and differ by vessel; we put them in front of you in plain language before you sign, together with the weather policy, so there are no discoveries after the deposit is paid.
How to Book a Corporate Charter
- Send the brief. Dates or date window, group size, objective (offsite, incentive, client event), and budget band if you have one, by WhatsApp or email.
- Review the shortlist. We typically return two or three matched vessels with itemized quotes within a few working days, flagging trade-offs between them honestly.
- Inspect. For larger events we arrange a marina inspection or a live video walkthrough of the vessel before you decide.
- Contract and deposit. One agreement covering the vessel, catering, AV, branding, transfers, and any security element.
- Run the event. You receive a run sheet in advance; our coordinator manages the dock and the operator on the day.

How far in advance should we book a corporate yacht charter in Bali?
For groups under 30, four to eight weeks is usually sufficient outside peak season. For events over 30 guests, multi-day incentive charters, or anything in July, August, or December, we recommend three to six months, because the small number of suitable large vessels means date availability, not price, becomes the constraint.
Can we brand the boat with our company identity?
Yes, within the limits of a chartered vessel: banners, flags, welcome signage, printed menus, branded gifts, and decorated event spaces are all standard. Permanent or adhesive branding such as hull wraps is generally not permitted by operators. We confirm your exact branding plan against the specific vessel in writing before contract.
Do you provide AV for presentations and awards on board?
A PA system with microphone and music playback can be arranged on most event-capable vessels. Can you invoice our company in USD and provide tax documentation?
Yes. We issue company invoices in USD or IDR addressed to your registered entity, with the supporting documents your finance and procurement teams need. Deposit and balance terms are agreed in the contract before any payment is requested.
What happens if the weather turns on the day?
Captains hold final authority on sailing. If conditions rule out the planned route, the usual options are a modified sheltered route, a postponement to an agreed backup date, or a refund per the operator’s weather policy, which we share with you before booking, not after. Sheltered southeast-coast routes give corporate events more weather resilience than open crossings, and we factor that into vessel and route selection.
Can you arrange security for executives or high-profile guests?
Yes. Through our partner network we arrange vetted personnel for marina access control, manifest-checked boarding, and onboard presence where the guest profile requires it. This is coordinated within the same contract as the charter, so your security brief and your event brief are handled by one accountable team.
