The guest manifest decides everything else
Every commercial departure from a Bali harbour requires a passenger manifest listing full legal names, nationalities, and passport or KITAS numbers for everyone aboard. Certified capacity is a hard ceiling the manifest enforces: a yacht licensed for 30 carries 30, whatever a late-joining colleague’s title. Book against your realistic maximum headcount, add a small buffer, and collect passport details at RSVP rather than chasing guests the night before.
- Collect full name (as printed in the passport), nationality, and passport or KITAS number at RSVP.
- Lock the list 72 hours out; later changes need the captain’s sign-off.
- Confirm the operator’s passenger insurance covers your full headcount.
A working timeline
- 6-8 weeks out: fix date, headcount, and format; shortlist and hold a vessel with a deposit.
- 4 weeks out: confirm catering, AV list, branding artwork, and bar package; get artwork approved before printing.
- 2 weeks out: close RSVPs, chase passport details, and agree the run of show with the captain.
- 72 hours out: submit the final manifest and confirm who calls the weather.
- Event day: open registration 45 minutes before boarding with two printed manifest copies, check guests against it, and brief the group on safety.
AV, staging, and branding on a moving deck
Ask the operator for the vessel’s usable AV power in watts before promising anyone a stage: a generator sized for background music will sag under a band, a DJ rig, and an LED wall at once. An LED screen beats a projector on a bright open deck, and budget for wind with wireless microphones. Operators refuse drilling, screws, and adhesive on teak, gelcoat, or stainless fittings, so plan branding that ships in and out cleanly: rail wraps, weighted runners, flags, and free-standing frames, not roll-up banners that fold in gusts. Alcohol aboard: confirm it in writing
Alcohol service runs under the operator’s own arrangements and varies by vessel, so never assume. Ask in writing whether the vessel can serve alcohol to your group, what the bar package includes, and what corkage applies if you bring your own. Import duties make foreign wine and spirits pricier than at home, so order through the operator’s local suppliers, which is cheaper and keeps the paperwork on their side. One note: Nyepi, the Balinese Day of Silence, shuts the whole island for 24 hours each March, harbours and airport included; check the date before committing to a March event.
Security and guest management
For most offsites, security means guest control, not bodyguards: a staffed registration desk, a manifest cross-check, and one person with authority to turn away anyone not on the list, not the crew, whose job is the vessel. For senior executives or media-sensitive events, we arrange licensed event security teams in Bali through the group, briefed on your manifest and schedule.
Invoicing, deposits, and tax
Settle commercial terms before the deposit leaves your account. Standard practice: a deposit of 30 to 50 percent secures the date, balance due 7 to 14 days before departure. Quotes often come in US dollars while invoices are issued in rupiah, so agree the exchange-rate treatment up front, and confirm whether the price includes VAT and a creditable tax invoice. Price overtime per hour, since ceremonies overrun, and agree weather-postponement terms in the same contract.
Current ranges: mid-size yachts for up to 15 guests run 1,500 to 4,000 US dollars a day; larger catamarans and phinisi for 30 to 100 guests run roughly 4,000 to 15,000 US dollars a day before catering, AV, and bar. Treat these as planning figures, not quotes.
Weather windows and the fallback plan
The dry season, April through October, gives the most reliable conditions, and mornings ride calmer water than afternoons. The Nusa Penida crossing is the most exposed leg, while Benoa and Nusa Dua stay sheltered as the calm fallback, so build both routes into the contract, with the captain making the final weather call: route swap first, reschedule second, refund terms last.
